Dynamic lists automatically keep themselves up to date based on the filters you set — so when a client's behavior changes, they move in or out of the list without you doing anything. This article walks through the most useful segments Loyalsnap studios use and how to build each one.
Dynamic lists are the most powerful way to run targeted SMS and email blasts, because the list reflects who actually qualifies right now — not who qualified when you last exported a spreadsheet.
Before You Start
To create a dynamic list:
- Go to Client Lists in the left navigation.
- Open the Dynamic tab.
- Click Start your dynamic list.
- In the Create Dynamic Client List window, give the list a clear name that describes who's in it (e.g., "At-Risk Members — 3+ Weeks No Visit"), then click Continue.
- In the conditions window that opens, choose a set of conditions from the pre-set lists or select Custom to build your own.
- Click Save. Your list then populates from those conditions and keeps updating automatically as clients qualify.
The list updates automatically as clients meet or no longer meet the criteria. You can always view the current member count and client preview from the Client Lists page.
Common Segments and How to Build Them
At-Risk Members (Haven't Visited Recently)
Clients who used to come regularly but have gone quiet are your most urgent retention opportunity.
Recommended filters:
- Last visit: more than 14 days ago (or 21 days, depending on your typical visit frequency)
- Total visits: 5 or more (to exclude brand-new clients who just haven't been back yet)
- Contract Status: Active
Why it works: This catches members who have an established relationship with your studio but are starting to drift. Contacting them before they cancel is far more effective than trying to win them back after.
New Leads (Haven't Visited Yet)
Clients who signed up but haven't taken a class yet.
Recommended filters:
- Total visits: 0
- Account Age: within the last 30 days
- Purchase: None
- No Scheduled Visits
Why it works: The window between sign-up and first visit is when you lose the most leads. A personal outreach from your team — or a targeted blast with a first-visit offer — significantly improves conversion.
Intro Pack Expiring Soon
Members on an introductory offer whose package is nearing expiration.
Recommended filters:
- Expiring Package: will expire in X to X days (set the range you want) and choose the package
- No contract
- No subsequent purchase: choose the same package as above
Why it works: This is your best conversion window. A well-timed message that acknowledges their intro experience and presents a membership offer lands at exactly the right moment.
Package filter options depend on what your booking platform sends to Loyalsnap. If you don't see your intro package listed, contact your Loyalsnap rep to confirm your package sync is configured correctly.
Lapsed Members (Cancelled or Expired)
Former clients who haven't had an active membership for a period of time.
Recommended filters:
- Contract Status: Inactive
- Last visit: more than 30 days ago
- Total visits: 3 or more (to focus on clients who genuinely engaged, not one-time visitors)
Why it works: Win-back campaigns to lapsed members with visit history convert better than cold outreach to people who barely tried your studio. This list keeps itself updated as new members lapse over time.
High-Value Members (Frequent Visitors)
Your most loyal clients — the ones worth rewarding and retaining at all costs.
Recommended filters:
- Total visits: 25 or more (adjust threshold based on your studio's visit volume)
- Recent visit count: At least 4 in 30 days (to exclude highly loyal members who have since gone inactive)
- Contract Status: Active
Why it works: These clients are your advocates. They're also the most valuable to retain when they show early signs of slowing down. A referral ask or a loyalty recognition message lands well with this group.
Clients With Upcoming Birthdays
Members with a birthday in the next 7–14 days.
Recommended filters:
- Birthday: in the next 7 days (or 14 days if you want more lead time)
Why it works: Birthday messages have some of the highest open and reply rates of any outreach. A personalized blast — or a triggered automation — feels genuinely personal at a low cost of effort.
If you have birthday automations enabled, you may not need this list for automated outreach. Use it instead for a more personal text from the GM or owner — a different, higher-touch touchpoint.
Combining Filters for More Precise Targeting
You can stack multiple filters to narrow a list.
Filters within a dynamic list are applied with AND logic — a client must match every filter to appear on the list. If you want OR logic (e.g., members on either intro pack A or intro pack B), create separate lists or work with your Loyalsnap rep on a custom configuration.
Troubleshooting / FAQs
Q: My dynamic list shows 0 members even though I know clients match the criteria.
A: Double-check each filter. An overly narrow combination can result in zero matches. Try removing one filter at a time to see where the list starts populating. Also confirm that the filter values match how your booking platform labels things (e.g., package names must match exactly).
Q: The list membership doesn't seem to be updating. A client I know qualifies isn't on it.
A: Dynamic lists recalculate on demand — each time you open the list, and whenever you change its conditions. While it's recalculating, you'll see a "Calculating clients… %" indicator at the top of the list; the membership and count update as soon as it finishes. If a client who clearly matches still doesn't appear after the list finishes calculating, first re-check your filters (see the 0-members question above), then contact your Loyalsnap rep.
Q: Can I use a dynamic list in an SMS blast?
A: Yes. When building your SMS blast, select your dynamic list as the recipient list. The blast will send to whoever is on the list at the time of send, as long as they are opted in.
Q: Can I reuse a dynamic list's filters as a starting point for a similar segment?
A: There's no in-studio "duplicate" option. From a list's menu (⋮) you can Edit its filters, Copy to other studios (copies the conditions to your other studios), use it in an email or SMS blast, Export it, or Delete it. To build a similar segment in the same studio, create a new dynamic list and re-enter the filters.
