Dynamic Client Lists

Dynamic Client Lists let you build your own lists of clients based on conditions you choose — then view, message, or export them. They're a fast way to segment your clients for reporting and outreach.

 

What are Dynamic Client Lists?

A dynamic list automatically pulls in every client who matches the conditions you set. As clients start or stop meeting those conditions, the list updates to match. Each list shows client details such as first name, last name, email, phone, join date, current package, current contract, and total visits. The total number of clients appears next to the list name.

 

Who can use this

Anyone on your team with access to the Client Lists page can create and use Dynamic Client Lists.

 

How to create a dynamic list

1. Go to the Client Lists page and open the Dynamic Client Lists tab.
2. Click Start your dynamic list.
3. Name your list and click Continue.
4. Click + add conditions, then choose a preset group from the dropdown, or choose custom to build your own conditions.
5. Click Save. The clients who match your conditions populate the list, and the total count shows next to the list name.

How your list stays up to date

Loyalsnap recalculates a dynamic list on demand — when you open it and when you change its conditions. While it's recalculating, you'll see a live Calculating clients… % indicator next to the list name. When it reaches 100%, the list and its total count are current.

💡 Tip: If the numbers look off, give the list a moment — it may still be calculating. The count is final once the indicator disappears.

 

List actions

Open the ⋮ (More) menu in the top-right of the list header to:

• Edit — change the list's conditions
• Copy to other studios — reuse the same list in your other locations
• Use in email blast — start an email blast to everyone on the list
• Use in SMS blast — start an SMS blast to everyone on the list
• Export — download the list as a .csv file
• Delete — remove the list

Use the Search icon to find specific clients within a list, and click the list name to rename it.

⚠️ Note: Export is unavailable while a list is still calculating, or when the list has no clients in it.

Frequently asked questions

How often does a dynamic list update?
It recalculates on demand — when you open the list or change its conditions — not on a fixed schedule. You'll see a live "Calculating clients… %" indicator while it runs.

Why does my list say "Calculating clients…"?
Loyalsnap is recomputing who matches your conditions. Wait until it reaches 100% and the indicator disappears — then the list and count are accurate.

I clicked Export but nothing happened — why?
Export is turned off while a list is calculating and when a list has zero clients. Wait for calculating to finish, and make sure the list has at least one client.

Can I message everyone on a list?
Yes. Use Use in email blast or Use in SMS blast from the ⋮ menu to start a blast to the whole list.

Can I reuse a list across my locations?
Yes. Use Copy to other studios from the ⋮ menu.
