Introduction to the Dashboard Category Manager
Loyalsnap allows you to update client categories directly from the Client Management Dashboard. This feature is designed to enhance your team’s communication efforts, helping you personalize interactions based on a client’s current engagement level. The Dashboard is intended for managing specific clients who may need manual outreach.
How to Access and Use the Category Manager
To open the Category Manager:
1. Log into your Loyalsnap account.
2. Navigate to the Client Management Dashboard.
3. Click the gear icon in the top right corner of the Dashboard to open the Category Manager.
The Category Manager shows a list of all your Dashboard categories. From here you can:
- Turn a category on or off with its per-category Enabled toggle.
- Drag to reorder categories. Order matters — see How the Dashboard Works below.
- Click a category to edit it, or click Add Custom Category to create your own.
- Click Categorize Now to re-run categorization on demand instead of waiting for the next hourly update.
A status area at the top shows the Total Users currently placed across your categories and the Last Update time, so you can see when categorization last ran.
Creating and Editing a Category
Click Add Custom Category to build a new category, or click an existing category to edit it. In the category editor you can set:
- Name — the category name shown on the Dashboard.
- Days to delay — how long to wait before a qualifying client appears in the category.
- Max days in category — how long a client remains visible in the category, as long as they continue to meet the conditions.
- Tooltip — a short description that appears when staff hover over the category, explaining its purpose or the outreach it calls for.
You also define the conditions that determine which clients qualify for the category (see Available Conditions below).
Automatically Send a Message with Loyalsnap Intelligence
Each category includes a Loyalsnap Intelligence auto-send toggle. When enabled, Loyalsnap Intelligence automatically sends a personalized message to a client when they enter the category, so you can follow up with clients in that category without manual outreach. Auto-send is a simple on/off toggle — there is no separate AI-send delay.
Available Conditions for Dashboard Categories
The following are the conditions you can use to customize your Dashboard Categories. These options allow you to tailor which clients appear in specific categories, making it easier to identify clients who need attention:

2. Available credits
3. Contract ending
4. Contract expired
5. Contract status
6. Contract time
7. Current package
8. Days since first class
9. Expired package
10. Expiring package
11. Followups
12. Last package
13. Last visit status
14. Lead
15. Next scheduled visit
16. No activity in X days
17. No activity after purchase
18. No contract
19. No scheduled visits
20. No subsequent purchase
21. No visits after X time
22. On autopay
23. On unlimited

25. Recent visit count
26. Total visits
These conditions allow for precise control over which clients appear on your Dashboard, ensuring that your team is always engaging with the right people at the right time.
How the Dashboard Works
The Dashboard Categories are updated and evaluated on an hourly basis. Loyalsnap’s system checks your client data every hour, scanning from top left to bottom right across the categories, and identifies which clients qualify for each one. You can also click Categorize Now at any time to re-run categorization immediately.
When a client meets the conditions for a category, their name will appear on the Dashboard, signaling that they need manual outreach. This personalized system lets your team know exactly what type of outreach is necessary based on the category the client falls into.
Each category is also configured with Max days in category, giving you the flexibility to decide how long a client remains visible, as long as they continue to meet the conditions.
Key Points to Remember:
1. One category at a time: A client can only appear in one Dashboard category. If they qualify for one, they won’t be evaluated for other categories further down the Dashboard.
2. Evaluation order: The system evaluates clients from top left to bottom right. The order of categories is essential for determining which clients appear and when — use drag to reorder to control this.
3. AND conditioning: Categories use AND conditions, meaning that a client must meet all of the specified conditions to qualify.
