The Client Management Dashboard is your daily action center — it surfaces the clients who are at important points in their journey so your team knows exactly who needs a personal touch. Watch the quick video below, or read on to learn how the Dashboard works and how to manage your categories.
What Is the Dashboard?
The Dashboard shows clients who are at key moments — new leads, clients about to take a first visit, trials about to expire, members at risk, and more. Each client appears intentionally, because they matched a category's conditions and could use manual outreach from your team.
It's designed to work alongside your Automations, which run in the background. Think of the Dashboard as your to-do list: pull it up first thing, and clear it out through the day as clients appear. Working it daily drives conversions, sales, and retention.
How the Dashboard Works
Loyalsnap evaluates your categories every hour, from top-left to bottom-right. When a client meets a category's conditions, their name appears there so you know what kind of outreach fits.
- One category at a time. A client only appears in a single category — once they qualify for one, they aren't evaluated for categories further along the Dashboard.
- Maximum Days in Category. Each category can set how long a client stays (as long as they keep meeting the conditions), so a client sticks around a few days and your team has time to reach out even if you miss a day.
Creating and Editing Categories
You can build and adjust your own categories from the Dashboard Category Manager — create a new category, edit an existing one, or disable one you no longer need. This requires the Dashboard Category Management permission. For step-by-step help, see Dashboard Category Manager.
Troubleshooting / FAQs
Q: Can I create or change my own categories?
A: Yes — use the Dashboard Category Manager if you have the Dashboard Category Management permission. Franchise brands may have categories managed at HQ; if you can't edit yours, contact your Loyalsnap rep.
Q: How often does the Dashboard update?
A: Every hour. Categories are re-evaluated top-left to bottom-right, and clients move in and out as they meet or stop meeting the conditions.
Q: Why is a client only in one category when they seem to fit several?
A: By design, a client appears in just one category at a time — the first one they qualify for, reading top-left to bottom-right.
Q: A client disappeared from a category. Why?
A: They either no longer meet the conditions or hit that category's Maximum Days in Category limit.
